2013 Transition

 

Our Goal

The Bonner Foundation is continually working toward a more streamlined and effective tracking process through the Bonner Web-Based Reporting System (BWBRS). The system enables us to get a sense of community partners in our network, the intensity and variety of Bonner student placements, and the types of training and enrichment activities that enhance students' service and learning goals. Beyond the many programmatic functions that BWBRS offers, it also helps in managing AmeriCorps paperwork for our participating programs. 

 

We have created the Summer Transition Procedure, distinct from the Semester Transition Procedure, because we know that preparing for the summer term has some unique challenges. Often, programs have to add many new partners as students seek placements outside of the local area. The Summer Transition Procedure Timeline considers that, and we hope that this can help you in preparing for the summer term. We are asking that all schools in our network go through this BWBRS summer preparation, according to the deadlines listed below. 

 

With this and other internal BWBRS improvements, we look forward to achieving:

  • clear, concise, and nationally-approvable entries for position descriptions, CLAs, and T&Es across the network
  • a more consistent schedule and process for checking in with your Campus Support Liaison
  • an AmeriCorps goal of exiting 100% of members within the required 30 day period after their last day of service
  • complete and approvable community partner pages that describe the organization's mission, program summaries, and non-profit status 

 

 

Entry Guidelines

The primary entries that Bonner directors and coordinators either input or manage in BWBRS are Position Descriptions, Community Learning Agreements, and Training & Enrichment Events. These resource pages feature the specific guidelines, resources, and examples for each entry type.

 

Position Descriptions

describes a particular "job" with a service partner 

Community Learning Agreements

describes the student's specific position activities for that particular term

Training & Enrichment Events

describes events, trainings, or meetings that enrich service work

 

 

Summer Transition Steps

Once you review the guidelines above and have a sense of our network-wide requirements for each entry type, continue with the process outlined below:

 

Step 1: Enter Future Semester Start Dates

by Tuesday, May 28

Goal: to ensure that BWBRS runs according to your campus calendar

Time to complete: 5 minutes

 


In order to align BWBRS with your campus calendar, you must enter in the semester start and end dates 3 semesters out. This will ensure that your BWBRS will function properly, especially in terms of making sure students' date ranges for the hour logs correspond with the semester. For example, it can sometimes be the case that student's summer hours show up on fall hour logs due to issues in the date range.

Step 2: Enter Partners, Position Descriptions, and T&Es for the Summer 2013 Term

by Friday, May 31

Goal: to accurately input information for all placements that will be active for the Summer 2012 term

Time to complete: half a day


Before you begin, please refer to the Tips and Tricks Resource Guide for Campus Administrators to ensure strong position descriptions that effectively communicate Student service activities.

 

Please only advance positions that will be active for Summer 2012. Then, enter in all new partners & positions.

 

Any Positions where AmeriCorps Members are serving must NOT violate the AmeriCorps Prohibited Activities.

 

It is essential that you provide the full street address and site supervisor information for each partner. This ensures a more efficient approval and e-signature process.

 

Be sure that any new partners you create have completed partner profiles that should include a mission statement, program summaries, and explicitly state its non-profit status. To confirm the non-profit status of a non-profit, use guidestar.org. You can copy and paste relevant information from the website. To see examples of partner descriptions (including examples for common sites like major non-profits such as Boys and Girls Club, an example for an elementary school, a student-led chapter organization such as CIRCLE K, and a religious organization with positions that do not involve proselytizing), click here for screenshots and further instructions.

Step 3: Schedule A 20-Minute Phone Call with your Campus Support Liaison

for the week of Monday, June 17- Friday, June 21

Goal: to ensure that all advanced positions are approvable and will be utilized by a student and to guide the advancing process

Time to complete: 20 minutes 


During this call, you will review all partners, positions, and T&Es for the Summer 2013 term with your Campus Support Liaison and your AmeriCorps Enrollment Manager (if applicable). This mutual process ensures that all positions which will be used by a student are appropriately described and documented. After this phone call, your campus support liaison may ask you to make some additional edits. This process will prevent issues later on in the summer, meaning that you won't have to worry about editing them again since they've already been approved and verified by your Campus Support Liaison.

Step 4: Notify Your Campus Support Liaison when You've Added New Positions in Summer 2013

Goal: to ensure that your position gets approved in a timely manner

Time to complete: depends on number of positions (15min+) 


Whenever you add new positions in BWBRS throughout the Summer, please be sure to notify your campus support liaison so they can be quickly approved. This keeps your BWBRS up to date and your students' hour logs ready-to-go when they need to be printed.

 

Send your staff person an e-mail or give them a call when you enter new information in. (You can do this in bunches, every 5 or so, or individually if it's a position that will need to be approved sooner).
